When to use it
Use this with the school calendar and the owners of each service. Agree the checks and any planned changes early enough to resolve problems before staff and pupils depend on the service.
The blank template: what to record
- Period, scope and owners
- Record the relevant dates, buildings, services and responsible roles.
- Classroom and user-task checks
- Test an agreed sample of displays, audio, printing, connectivity and staff sign-in using the intended workflow.
- Managed-device readiness
- Confirm required applications, management status and planned update or deployment work with device owners.
- Operational evidence
- Check service contacts, supplier cover, current backup status and the recorded recovery-test position.
- Dependencies and contingency
- Coordinate events and assessments with their responsible leads. Record the approved alternative for unresolved services.
- Readiness decision
- List outstanding work with owners, due dates and the role accepting any remaining operational risk.

Fictional training example
A completed example
- Period, scope and owners
- DEMO readiness review for the next teaching period. Classroom, device and network owners assigned.
- Classroom and user-task checks
- Agreed room sample tested with the intended staff account, presentation and audio. One adapter issue remains open.
- Managed-device readiness
- Pilot devices receive the intended applications; unresolved deployment differences are listed.
- Operational evidence
- Supplier contact route checked. Recovery owner provided current backup evidence and the restore-exercise record.
- Dependencies and contingency
- Event requirements confirmed with the organiser. Approved spare adapter reserved for the affected room.
- Readiness decision
- Room-support owner to replace and retest the adapter before the agreed date; school lead receives the exception list.
Check the finished record
- Did checks reproduce the real staff task?
- Were events and assessment requirements confirmed with their owners?
- Are exceptions assigned and reviewed before the busy period?
Use an explicit “unresolved” or “workaround” outcome when a service has not been fully restored. A neatly completed form is useful only when it represents the evidence accurately.
Put it into practice
Choose one recent, non-sensitive example with your team. Ask another person to read the draft and explain the next action. Revise any field that leaves them guessing, then transfer the agreed structure into your approved record system.
